Overview:
Load the WhiteBoard by entering the conference room as a moderator and clicking on Administration and then WhiteBoard. The WhiteBoard will instantly display in the browser region with the buttons available. On all participants screens, the WhiteBoard will display without the buttons visible.

The WhiteBoard allows you to capture parts of your computer screen and instantly display them to participants in the conference room.  These captured images can then be highlighted using various colors or boxes.  There is also the ability to highlight areas by zooming them.  The WhiteBoard contains an important feature to allow you to move and shift the image to display portions that may not be visible due to lack of available space.  It also allows instant dynamic display of PowerPoint presentations without the need to first upload them into the Document Center.


Capturing Screen Shots and Displaying them in the WhiteBoard:

The first step to capturing something from your screen and displaying it in the whiteboard for all to see is to open the Capture Utility.  Click the "Load Capture Utility" button:
This will open a small window used to capture screen shots.

  • To capture your entire screen, simply click the "Capture Screen" button. The screen will be captured and loaded into the whiteboard for all participants to see.
  • To capture a specific window (application), click the "Capture Window" button. The button will become disabled. No click on the application you want to display, such as MS Word, or PhotoShop, or Outlook Express, or any other application open on your computer.  The window will be captured and displayed in the whiteboard.
  • To capture a region of your screen, click the "Capture Region" button.  Your computer screen will "freeze" to allow you to draw a box around the desired region.  Draw a box by clicking and holding the left mouse button and then dragging down and to the left to draw a box around the region. Upon releasing the mouse button, the region will get captured and displayed.

You can also drag and drop any existing image on your computer or on the Internet into the Capture Utility to display that image in the WhiteBoard.  For example, you could search for any image at Google.com and then drag the image from the browser to the Capture Utility to display it in the WhiteBoard and then hightlight and draw on it.

Once the image is displayed in the WhiteBoard, the capture utility can be closed until needed again.


Highlighting in Colors:
Once an image has been displayed in the WhiteBoard, you can highlight various parts in several different colors. By default, the rectangle shape button is selected and ready for highlighting.  In the whiteboard, click and hold the left mouse button and drag down and to the left to draw a box around the area you want to highlight.  Release the button to draw the highlighted rectangle.


Changing Colors:
You can change the color at any time by simply clicking on the color you want.  The selected color will be displayed in the large color rectangle.  The color selected is used for the highlighting color, the border color for drawing boxes, and text color.


Drawing Boxes Around Areas:

To draw a box around an area in the whiteboard, select the Rectangle Shape button:
Change fill from Highlight to Blank,

Then draw a rectangle by clicking and holding the left mouse button and dragging down and to the left.


Increasing Line/Text Width:
You can increase the thickness of the line drawn when drawing boxes, or the font size when drawing text by changing the "Size" to a larger or smaller number. The smallest size is 1, and the largest is 15.


Deleting Highlighted Areas One at a Time:

You can delete any specific highlight or box that you have drawn by first selecting the "Select Drawing to Delete" button:
Next, click on the highlight or box you wish to delete. The object will become outlined in blue. Now simply press the "Delete" key on your keyboard and the object will be removed. At this time, text cannot be deleted this way.


Delete all Highlights. Boxes, and Text:
To delete all drawings made, click on the "Clear All Drawings" button:


Highlighting using Zoom Feature:
One of the most unique features of the WhiteBoard is to select and zoom an area of the captured image. Click the "Zoom Selected Area" button  and then draw a box around the area you wish to zoom by clicking and holding the left mouse button and dragging down and to the left.  When you release the mouse button, the selected area will get zoomed 2X the normal size.  To return back to normal, just click anywhere on the WhiteBoard, or zoom another area.


Drawing Text:
To draw text, click the Text button:
Select the color you want:
Select the size of the font you want:
Click on the location in the WhiteBoard that you want the text to appear.  A Text Box will appear. Type the text you want to display and then click on the WhiteBoard outside the text box area.  The text will be displayed.


Moving an Image in the WhiteBoard:
One of the most important features needed in the WhiteBoard is the ability to move and shift the location of the captured image.  The reason this is important is that many times the captured image is to large to fit within the allotted space of the WhiteBoard.  This results in areas to the right and bottom to be "cut off".  But you can make these areas visible to all participants by clicking the Move button:
Now click and hold the left mouse button anywhere on the image in the WhiteBoard. Drag the mouse up and/or to the left until the image is in the desired location and then release the mouse button.


Restoring Original Image Position:
You can restore the image to its original position after moving it with the Move option by clicking the Restore button:


Viewing in 800X600 Resolution:
When participants use a monitor with lower resolution that the moderator, they see less of the WhiteBoard.  The moderator can see what a user with 800X600 resolution sees by clicking the Wide/Narrow Resolution button: 


Displaying PowerPoint from the Document Center:

The easiest way to display a PowerPoint presentation that has been uploaded to the Document Center is to access it from the Document Center itself. Open the Document Center and click on Manage Docs. Select the presentation and click "Load WB":

The presentation must have been uploaded in JPG or GIF format.


Displaying PowerPoint Dynamically:

You can display a PowerPoint presentation directly into the whiteboard without first uploading it to the Document Center. To do this, first open the Capture Utility by pressing the Capture Utility button:

Click on "More" in the capture utility. This will open more options. Click on "Load" and select the PowerPoint presentation you want to display. (Note: you must have PowerPoint installed on the computer).  Click Open and the presentation will load and display inside the Capture Utility.  You can display the current slide at any time by clicking the "Display" button.  The Arrow buttons:  allow you to navigate the slides of the presentation.  After moving to the next slide, you must click the "Display" button again to show it in the whiteboard.


Terminating a WhiteBoard Session:

When you finish using the WhiteBoard, you should always press the "Terminate" button:

Failure to do so will result in displaying the last image and drawings the next time the WhiteBoard is loaded.  Terminating the session will clear the history of the Whiteboard to start fresh the next time it is used.
