Room Administration Guide

This Room Administration Guide includes step-by-step use of the Room Administration tool. This manual is recommended for individuals who are responsible for customizing and maintaining individual tcConference virtual meeting rooms.

In order to use Room Administration functions, you will need the room administration link (URL) and the room administration password. That information is available from the Virtual Server Administrator.

Login to Web Administration - Room Administration

  1. Start your web browser and type (or cut and paste) the room administration URL link into the browser and press Enter. (sample url - "roomadmin_URL/masteradmin/room2.asp?id=rs672ea4d2cef8)"
  2. The login form will display.
  3. The Room Name will be shown. Type the room administration Password and click the Configure Room Button.
  4. The Room Administration form will display.
  5. Edit or add the desired information on the displayed form.
  6. First time users will notice that information has already been entered into some of the fields. This was done when the room was created, or edited, by the Virtual Server Administrator.

    • Company Name: Shows company or owner's name.
    • Email Address: Displays email of owner.
    • Phone Number: Shows contact phone for owner.
    • Mod Password: Insert/Modify the password room moderators will use to enter the room.
    • User Password: Insert/Modify the password that Non-Moderators (users/participants) will use to enter a room. When left blank, no password will be required.
    • Title: Insert/Modify the name used as the Window title.
    • Opening Page URL: Type/Modify the URL for the web page that will be displayed when people enter the room.
    • Help URL: Show/Modify the URL for the help page that will display when a user clicks the Help Menu.
    • Logo URL: Enter/Modify the URL for the logo that will display when a user enters a room.
    • Features: Click on Allow Text Chat option to allow/disallow text chatting.
    • The Room is Open: Clicking here makes this room available for use.
    • Allow Recording: Checking or "unchecking" will allow/disallow recording for Moderators and/or Non-Moderators.
    • Voice Quality: Click on the selection box and choose desired voice quality for the room. The higher the value chosen, the better the quality, but the higher the bandwidth requirements. More information on audio quality
    • Note: The voice quality cannot be changed "on the fly". When this value is changed, all users must leave and then re-enter the room. Failure to do so will result in some, or all, users hearing "chipmunk-like" sounds.

  7. When this form has been completed, click the Update button to update the room information.
  8. The message Data Updated and BACK will display. Click BACK to return to the Room Administration form.

Log into Room

To ensure that the changes made have "taken", follow these steps:

  1. Activate Click here to enter this room (found at the top of the Room Administration page).
  2. Then activate Click here to enter room on the room access page.
  3. The room login form will then be displayed. Type in the Username, Password (if required) and click OK.
  4. Enter the room with the specified user name and with (or without) a password, as prescribed. Moderators will always require a password.
